12 Steps to Getting a Grip on Time Management

If you don’t learn to control time, time will control you.  You will be in the constant rut of feeling like there is just not enough time in your day.  The affirmations in this set will help you to create habits that will help you to control your time and stop letting it control you.  To guide you even further we have included the following 12 Steps to Getting a Grip on Time Management. 

Write a List of Things to Accomplish Each Week and Establish Priorities. Each week, make a written list of the things you want to accomplish. You may also want to have a daily, quarterly, or yearly task list. I personally have a master list of everything I want to accomplish and then each week I make a list of what I want to accomplish for that week. Next, prioritize your list in order of what is most important first. Take the time to be honest about what is important to you and in what order. This will help you prioritize and focus your energy in the moments that matter. It is better to work on accomplishing the items in order of importance. You can spend a lot of time working on small tasks that really won’t make much of a difference in your life, and never have time to accomplish the things that matter most.
Set Deadlines for Accomplishing Your Tasks. Deadlines are useful for giving you a target to work towards. Even if it’s just an internal deadline, having something tangible to aim for can inspire you to get more things done. Reevaluate your deadlines weekly and make adjustments where needed.
Use a Check-Off System. As you accomplish your tasks, check them off. Not only will this keep you on track with what has been completed, and what still needs to be done, it will give you a sense of accomplishment. Writing down a list of tasks and checking them off one by one is a great way to visualize and hold yourself accountable for what needs to be done.
Designate Blocks of Time. Block out specific times on a calendar to complete each task. An appointment book works great for this also. Allow a little time between major tasks in case one takes a little longer than expected. If you get done early, you can either give your mind a little break, or simply move on to the next task. If you have tasks that you are going to have every week, it is best to keep the days and times consistent as much as possible.
Reward yourself. Celebrate your accomplishments, no matter how small, by giving yourself rewards for a job well done. If you want to go even further on your big tasks, purchase a reward that will mean something to you. Set a goal date to accomplish your big task and if you hit your goal, you get the reward. If you don’t hit your goal, you must give your gift to someone else. You can let that person know ahead of time and have them help hold you accountable to hit your goal.
Take a Break. Full-on breaks are important to recharge and come back to your tasks with renewed energy. Have you ever taken a vacation and when you go back to work, you have so much more energy, and just a better outlook in general that allows you to accomplish more than you did before the vacation? Taking a break recharges and refreshes your body and your mind. Even taking breaks throughout your day are important to not feel overwhelmed.
Avoid and Eliminate Distractions. One distraction can take you completely off course. Get rid of distractions such as the phone, TV, or the internet and focus on the task at hand. It is best to turn your phone to silent, set your emails so they don’t notify you, and so forth when you are working on a task. Also be careful to not let your mind wander about other things that need to be done where you run off to do them instead of the important task you are currently working on.
Delegate Certain Tasks to Others. Don’t try to do everything yourself. Delegate certain tasks and responsibilities to people who can help you out. Trying to do too much by yourself can lead to burnout and failure.
Focus on the End Goal. Keep your end goal in mind and avoid getting sidetracked by the small details. It is your “Why” that will help you to stay on track more than anything. Maybe you have a goal to lose weight, and one of your tasks is to exercise 10 minutes every day. Your motivation for losing weight might be that you will be able to take a vacation to a place you have always wanted to go with your family, and be able to do things you enjoy that you cannot currently do because of your weight. If you focus on the exercise, you are not near as likely to complete the task on a regular basis as you would if you focused on the vacation with your family. Keep your eye on the prize!
Set Realistic Goals. Make sure that your goals are achievable and don’t set yourself up for failure by setting the bar too high. It is great to make your goals a stretch, but if they are not achievable, it will lead to frustration and a desire to give up.
Don’t Be a Perfectionist. Give yourself permission to make mistakes and recognize that done is better than perfect. This is not to say you shouldn’t do your best, but often trying to make something perfect can take up way too much time that could have been used to be working towards another task or goal.
Utilize Technology. Take advantage of helpful apps and tools to help you stay on track and ensure that you are using your time as efficiently as possible. There is so much help available through the internet today, and through apps that can make completing a task so much easier. Having the right tools can also make a big difference.
